Cancellation Policy

In the interest of protecting AFA sponsor resources, the following cancellation practices will be followed.

AFA Leaders Conference

As an engagement and funding partner of AFA, we value your support. For 27 years, partners have invested their dollars in our nonprofit programming to help guide the next generation of agriculture and food leaders. Because we are committed to being good stewards of those dollars, we are implementing a cancellation policy for 2023 AFA Leaders Conference to help direct that funding toward growing the number of students we serve each year.  

Our goal for this policy is to work with our partners in establishing deadlines when confirming/making changes regarding your teams’ engagement. With the rise of costs associated with in the hospitality industry (AV, caterings, lodging, etc.) this policy will help mitigate the financial risks AFA is liable for regarding cancellations that fall outside the calendar parameters set by third party vendors. 

As one of our main contacts for partnership, please help us in making sure this policy is communicated to your team members planning to attend Leaders Conference in November.  

Leaders Conference Partner Cancellation Policy

Oct. 2: Deadline to register/confirm participation at 2023 AFA Leaders Conference – this includes speaker roles 

Oct. 9: Last day to complete any cancellations or replacements 

  • Meals: Last day to cancel team member and receive reimbursement on any meals purchased outside of the complimentary meals provided through the partnership. If a team member cancels after this date, partner will be liable for cost of the meal already purchased. 

  • Speakers: Last day to cancel team member and replace with another teammate. If a team member is unable to participate in the program following this date - no other team member from your company will be able to participate/replace that individual unless specified by an AFA team member. 

Leaders Conference Delegate Cancellation Policy

October 11– October 18: A cancellation fee of $200 will be assessed to the student. 

October 19 – November 1: A cancellation fee of $300 will be assessed to the student. 

November 2 – LC24: A cancellation fee of $450 will be assessed to the student. 

2024 NACD + AFA Sustainability Institute 

December 31 - January 13: A cancellation fee of $200 will be assessed to the student. 
January 14 - January 27:  A cancellation fee of $300 will be assessed to the student. 
January 28 -  Institute:  A cancellation fee of $450 will be assessed to the student. 

2024 AFA Technology Institute 

January 18 - January 31: A cancellation fee of $200 will be assessed to the student. 
February 1 - February 14:  A cancellation fee of $300 will be assessed to the student. 
February 15 - Institute:  A cancellation fee of $450 will be assessed to the student.

2024 AFA Animal Institute 

March 17 - March 23: A cancellation fee of $200 will be assessed to the student. 
March 24 - April 6:  A cancellation fee of $300 will be assessed to the student. 
April 7 -  Institute:  A cancellation fee of $450 will be assessed to the student. 

2024 AFA Food Institute

April 7 - April 20: A cancellation fee of $200 will be assessed to the student. 
April 21 - May 4:  A cancellation fee of $300 will be assessed to the student. 
May 5 - Institute:  A cancellation fee of $450 will be assessed to the student. 

2024 AFA Crop Science Institute 

June 9 - June 22: A cancellation fee of $100 will be assessed to the student. 
June 23 - July 6:  A cancellation fee of $200 will be assessed to the student. 
July 7 -  Institute:  A cancellation fee of $350 will be assessed to the student. 

2024 AFA Policy Institute

July 28 -  August 10: A cancellation fee of $200 will be assessed to the student. 
August 11 - August 24:  A cancellation fee of $300 will be assessed to the student. 
August 25 - Institute:  A cancellation fee of $450 will be assessed to the student.

 

In the event that the COVID-19 situation is affecting the ability to travel or gather at the time of the event, AFA will waive cancelation fees.

Attendees are responsible for booking and financially supporting their travel to and from the AFA program unless they are a recipient of an AFA travel grant. They are responsible for their travel even in the event the program is canceled due to unforeseen circumstances.

Cancellation fees will be invoiced to the canceling attendee for payment to Agriculture Future of America. Send all cancellations to programs@agfuture.org.
